How SafeSite works

Choosing WHS software for your building sites.

Bring your actual routine to the demonstration. Check the steps your team uses and the evidence you need later.

Start with the gap in your current routine.

If safety documents sit in email, shared folders and separate attendance sheets, write down the moment your team loses the thread. It might be finding the approved plan, knowing which SWMS someone acknowledged, or working out whether an induction is current.

That becomes your software test. Look for a workflow your site team can follow, with clear versions, responsibilities and records. Then check setup, device support, record access and the full commercial terms before choosing a supplier.

Six checks. One practical demonstration.

These are questions to test with a supplier. The linked SafeSite examples show selected workflows using fictional records; they do not establish every requirement on your shortlist.

  1. Find the plan in effect

Use a sample site with two plan versions.

    • Which version is in effect?
    • Who reviewed it, and when?
    • Can you find the earlier version?
    WHS plan workflow
  2. Follow a SWMS change

Change part of the proposed work.

    • Where is consultation recorded?
    • Which controls and version are assigned?
    • Do earlier acknowledgements stay clear?
    SWMS workflow
  3. Try the worker’s phone

Use a device your team takes to site.

    • Can they complete the induction and knowledge check?
    • Which version does completion refer to?
    • How do replacement and expiry work?
    Site inductions
  4. Review a missed check-out

Review a sample session left open overnight.

    • Is it separate from the current roster?
    • Who can follow up the session?
    • What evidence does a correction retain?
    Attendance review
  5. Follow a hazard to an action

Use a sample hazard and its proposed controls.

    • Who owns the risk review and action?
    • Can you follow implementation evidence?
    • How is effectiveness reviewed?
    Risks and improvement
  6. Retrieve the record later

Ask a different team member to find it.

    • Can they follow the site and version?
    • Are the decision and completion connected?
    • What can they export, and in what format?
    Evidence and review

Resolve the practical questions before you commit.

People and devices

Try the workflow with someone who will use it on site, as well as the person who manages the records. Check access for workers, contractors and supervisors across two different sites. Test your intended phones and browsers, camera and location permissions, and what happens when the connection drops. Do not assume a browser-based system works offline.

Setup, support and price

Request a written proposal that covers the sites and people included, setup work, training, support, ongoing fees and cancellation terms. Ask what can be brought across from your current system and who does that work. Agree how you can retrieve records during the service and when leaving. Confirm any required integrations or export formats in the live product.

The requirements for your work

Ask which jurisdictions the product addresses and have your responsible people check it against the work you undertake. SafeSite’s current legal framing is NSW-specific. Software supports preparation, review and record keeping; it does not replace site controls, competent decisions or your organisation’s WHS responsibilities. Read the scope of SafeSite’s compliance support.

Where SafeSite fits.

SafeSite connects everyday site safety with the wider WHS work: plans, SWMS, people and inductions; hazard and risk registers; consultation, incidents, corrective actions and continuous improvement. Document, licence and insurance records support the office’s review.

Optional registers cover specialised work such as chemicals, plant, scaffolding and contractor prequalification. Explore the full toolkit, or see roles and access for what each person can do.

If your decision depends on a particular integration, offline workflow, migration service or commercial arrangement, ask the team to confirm it. Camera and location behaviour depends on the supported device and browser permissions and needs validation by your organisation.
